Job Summary: The Office Manager & Executive Assistant to the CEO is a dual-impact role designed for a high-energy, detail-oriented professional who thrives on variety. This position serves as the strategic right hand to the CEO while simultaneously acting as the heartbeat of the office environment. You will balance a 50/50 split between Executive Support—managing complex logistics and high-level communications—and Office Operations, ensuring our workspace is functional, welcoming, and culturally vibrant. Key Roles and Responsibilities: 1. Executive Support (Approx. 50%) Calendar Gatekeeping: Manage the CEO's complex calendar, prioritizing high-value meetings and protecting "deep work" time. Communication: Draft correspondence, polish presentations, and act as a primary point of contact for external partners. Monitor follow-ups, deadlines, and action items to ensure timely completion Travel & Logistics: End-to-end management of travel itineraries and expense reporting. Special Projects: Assist the CEO with ad-hoc research or project management for new initiatives. 2. Office Operations & Culture (Approx. 50%) Workspace Management: Ensure the office environment is clean, functional, and welcoming. Liaise with building management and service vendors. Events & Morale: Coordinate team lunches, offsites, and coordinate with HR on planning holiday parties and major events to maintain our company culture. Vendor Relations: Source and manage relationships with external vendors. Procurement: Oversee office supply inventory, monitor usage, and place orders as needed. Basic Finance Task: Cash Advance Management, Liquidation of Expenses Qualifications: Experience: 3+ years of experience in an administrative role, with at least 2 years supporting a C-level executive, ideally in a startup or high-growth company. Tech Savvy: Proficient in Microsoft Office and Slack. Experience with project management tools is a plus. Exceptional Writing: Ability to draft professional, high-stakes correspondence that reflects the CEO’s voice. Project Management: Proven ability to manage multiple moving parts without losing focus on the details. Vendor Management: Experience negotiating contracts and managing service-level agreements (SLA). Budgeting: Ability to manage an office spend/operations budget and reconcile expenses. Project Management: Proven ability to manage office management and events planning. Job Type: Permanent Pay: Php30,000.00 - Php35,000.00 per month Work Location: In person
